AssetTracker Adds Electronic Signatures for Asset Handover and Returns
AssetTracker received a major documentation upgrade as part of the August 4, 2026 update.
The platform now includes a complete electronic-signature workflow for asset handover and return documents, giving companies a cleaner way to confirm that equipment movements have been reviewed, acknowledged, and recorded.
Electronic Signatures for Handover and Return Documents
When a device is assigned to an employee, a company can now optionally send a secure handover or return signature request directly to the recipient’s email address.
The recipient receives a private signing link where they can review the asset information, agreement details, and acknowledgement request before confirming electronically.
This turns asset handover from a manual paperwork step into a structured digital workflow.
Private One-Time Signing Links
Each signing request is protected by a secure token and can only be accessed through the recipient’s private email link.
The link expires automatically after seven days and cannot be copied or opened from inside the AssetTracker dashboard. This keeps the signing action email-based and private to the intended recipient.
If a link expires or needs to be refreshed, administrators can resend the request with a new secure link and renewed expiry period.
Clear Asset Review Before Signing
Before signing, the recipient can review the key details of the asset movement.
The signing page can show information such as device name, serial number or asset tag, category, designation or department, project or site, and the applicable agreement text.
This helps ensure the acknowledgement is tied to the actual equipment and assignment being confirmed.
Pending Signatures Dashboard
A new Pending Signatures section is now available from the Devices Directory.
This gives administrators one central place to manage documents that are still waiting for signature.
Each pending request shows the device, document type, recipient name, recipient email, request date, expiry date, email delivery status, and resend count.
From this section, administrators can open the related device, resend the signing email, or cancel the request immediately.
Resend and Cancel Controls
Signature requests can now be managed more safely after they are created.
Resending a request creates a fresh secure signing link with a renewed expiry period. Cancelling a request disables it immediately, and the old signing link can no longer be used.
This gives administrators better control when recipients miss an email, a request was sent incorrectly, or a document no longer needs to be signed.
Verified Signature Records
Once the recipient signs, the handover or return document displays a verified electronic-signature record.
The record includes the signer’s name, email address, signing date, and a unique verification reference.
This verification is visible inside the AssetTracker device profile and on exported forms and documents, making it easier to prove that an acknowledgement was completed.
Assignment-Specific Signature Validity
Electronic signatures are tied to the specific device assignment.
If a device is returned to Head Office or reassigned to another employee, the previous signature is no longer shown as valid for the new assignment.
A new signature request can then be sent for the new handover, keeping each movement of company equipment independently verified and properly documented.
Audit Trail Across Device and Company History
AssetTracker now records signature requests, resends, cancellations, and completed signatures in the device history and company activity history.
This gives teams a clearer audit trail for every important step in the signing process.
With electronic signatures now built into AssetTracker, companies can manage asset handovers and returns with stronger documentation, private recipient acknowledgement, and cleaner proof for every equipment movement.
