Smart Forms Extends Inactive Form Retention to 1000 Days
Smart Forms has received an important data retention upgrade that gives creators much more time to manage their inactive forms and submitted responses.
Inactive forms and their related submission data are now kept for 1000 days instead of 180 days before automatic cleanup permanently removes them.
This change is designed for creators, schools, businesses, teams, and organizations that need longer access to response records without rushing to export or archive everything immediately after a form becomes inactive.
A Much Longer Review Window
Previously, inactive Smart Forms were retained for 180 days.
For many use cases, that was enough. But for longer-running operations, audits, school records, event registrations, internal reports, compliance reviews, and seasonal projects, six months can disappear quickly.
With the new 1000-day retention window, creators now have significantly more time to return to older forms, review submissions, export data, check uploaded files, or preserve important records before the automatic cleanup cycle takes effect.
Responses Stay Available for Longer
Submitted form responses now remain available for much longer after a form becomes inactive.
This gives creators more flexibility when they need to revisit old registrations, quiz results, uploaded documents, survey answers, customer requests, or internal form records.
Instead of feeling forced to download everything quickly, users can manage their response data at a more realistic pace.
More Time to Export and Archive
The extended retention period is especially useful for teams that rely on exports for reporting or record keeping.
Creators now have a longer window to export responses, download attached files, prepare reports, reconcile records, or move important data into their own long-term archive.
This makes Smart Forms more practical for real workflows where data is often reviewed weeks or months after collection has ended.
Associated Files Are Preserved Too
When a form includes uploaded files, those associated files follow the same longer retention behavior.
This means documents, images, and other submitted media connected to inactive forms remain available during the extended retention period, giving creators more time to review and manage collected materials.
Once the retention period eventually expires, automatic cleanup still removes the form and its associated files permanently, keeping storage from growing forever.
Better Fit for Schools and Organizations
Many Smart Forms are used for workflows that need longer historical access.
Schools may need to review old registration forms, exam submissions, permission slips, or parent responses. Businesses may need to revisit staff forms, applications, customer requests, or internal approval records. Community groups may need older event registrations or membership details long after the original form has closed.
The new 1000-day retention period gives these users a safer and more comfortable timeline for reviewing and preserving their data.
Automatic Cleanup Still Protects the Platform
This update extends the retention period, but it does not remove automatic cleanup.
SmartKit will still clear inactive forms and associated files after the retention window ends. The difference is that creators now have far more time before that permanent removal happens.
This keeps the platform balanced: users get a longer and more practical data management window, while SmartKit continues to maintain responsible cleanup over time.
No Action Required
Creators do not need to change any settings to benefit from this update.
The new 1000-day inactive form retention period applies automatically, giving existing and future inactive forms the longer preservation window where applicable.
This update makes Smart Forms more forgiving, more practical, and better suited for long-term records, giving creators the time they need to review, export, manage, and preserve their responses before automatic cleanup takes place.
